Call Recurring Meetings Near Their Date
Context
The implementation currently creates scheduled occurrences across its whole rolling window. Product chose a nearer call to avoid treating a distant plan as an immediate invitation.
Decision
The recorded policy creates recurring meetings as drafts and calls each at the committee lead time, thirty days by default, with an earlier manual call allowed.
Alternatives Considered
Call the full eighteen-month horizon immediately. It creates early notice work and snapshots participants long before the gathering.
Send one call for the whole recurring series. It does not resolve the early participant snapshot problem.
Consequences
Materialization needs draft creation and a later lead-time call step. Participant notice work is prepared for the gathering being called rather than the whole distant horizon.
